In CareCentre.io, managers can quickly copy an entire week's schedule to another week, reducing manual input and ensuring efficiency. This guide explains how to copy a week's rota and apply it to a new date range.

How to Copy a Week’s Rota

1. Navigate to the Rota Section

  • Log in to your CareCentre.io admin or manager account.

  • Go to Rotas from the main menu.

  • Select the week you want to copy using the date selector at the top of the screen.

2. Open the Copy Week Tool

  • Click on the copy icon in the rota toolbar.

  • Select ‘Copy Week’ from the menu.

3. Select the Destination Week

  • Choose the week where you want to copy the existing rota.

  • Ensure that no conflicts exist (e.g., overlapping shifts or pre-existing schedules).

4. Apply the Copy

  • Click ‘Confirm’ to duplicate the shifts into the selected week.

  • The copied shifts will be in draft mode until published.

5. Review and Publish

  • Make any necessary adjustments to the copied shifts.

  • Once verified, click ‘Publish’ to finalise the rota.


Managing and Modifying Copied Shifts

1. Editing Individual Shifts

  • Click on a shift to modify details such as timing, role, or assigned employee.

  • Save changes before publishing.

2. Removing Unneeded Shifts

  • If certain shifts are not needed, click the ‘X’ icon to delete them.

3. Adjusting Employee Assignments

  • If an employee is unavailable for the copied shift, you can reassign the shift to another staff member before publishing.
